This Privacy Notice explains what personal information The Drone Hospital, LLC (“we,” “us,” “our”) collects through thedronehospital.com, our forms, chat widget, phone, text, email, online store, and repair services, how we use it, who receives it, how long we keep it, and the choices you have.
1. Information we collect
| Category | Examples | Why we collect it |
|---|---|---|
| Identity and contact | Name, company, phone, email, mailing and return-shipping address | Quotes, work orders, shipping, support, and service messages |
| Equipment details | Make, model, serial number, FAA registration number, accessories, reported problem | Intake, repair history, ownership and authority checks |
| Declared value and condition records | Declared value, intake and repair photos, condition notes | Custody record, estimates, and handling of any loss or damage claim |
| Service records and approvals | Estimates, approvals, accepted terms and version, invoices, warranty claims | Performing the work, warranty, billing, and proof of what was agreed |
| Payment information | Payment method type, last four digits, transaction ID, billing address | Collecting payment and issuing refunds. Card numbers and security codes are entered with our payment processor; we do not receive or store full card numbers or CVV. |
| Order and shipping data | Products ordered, delivery address, tracking | Fulfilling store orders and returns |
| Customer media and logs | Photos, video, flight logs, or maps on equipment you send us | Accessed only as reasonably needed to diagnose or verify a repair |
| Marketing preferences | Email/SMS opt-in and opt-out records | Sending messages you asked for and honoring opt-outs |
| Website and device data | Pages visited, device and browser type, IP address, cookies | Security, site operation, and basic analytics |
Please do not send us permanent account passwords. If account access is essential to a repair, we will ask for a temporary, minimum-access credential through a channel we approve, and you should change it when your equipment is returned.
2. Where information comes from
Most information comes directly from you — website forms, the chat widget, phone calls, texts, email, checkout, and the equipment and paperwork you give us. Some is created by us during service (photos, test results, invoices). Some is collected automatically by our website and service providers (device data, cookies), and some comes from carriers and payment processors (delivery and payment confirmations).
3. How we use information
We use personal information to respond to inquiries; prepare quotes and estimates; perform, verify, and warrant repairs; process orders, payments, shipments, returns, and refunds; send service, safety, and transactional messages; send marketing only where you have opted in or the law otherwise allows; keep business, tax, and legal records; protect against fraud and security incidents; and improve our website and services.
4. SMS / text messaging program
By providing your phone number and opting in through our website forms or chat widget, you consent to receive text messages from The Drone Hospital, LLC. These may include customer care messages (such as repair updates, quotes, and scheduling) and, only if you separately consent, promotional messages. Message frequency varies. Message and data rates may apply. Reply STOP at any time to unsubscribe, or HELP for help. Consent is not a condition of purchase.
No third-party sharing of mobile information: phone numbers collected for SMS consent and text-messaging opt-in data are never sold, rented, or shared with third parties or affiliates for their marketing purposes.
5. Who receives information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We disclose information only to the following categories of recipients, and only as needed:
- Service providers that operate our business systems — website hosting and site statistics (WordPress.com / Automattic, Jetpack), forms, chat, CRM, email and text messaging (HighLevel / LeadConnector), online store software (WooCommerce), payment processing (our merchant processor and its gateway; Payhip for certain digital downloads), and accounting.
- Shipping carriers and shipment insurers, to deliver and insure packages.
- Manufacturers and parts vendors, only when needed for a specific repair or warranty claim.
- Insurers, professional advisers, and counsel, when needed for a claim or dispute.
- Law enforcement, regulators, and financial institutions, when required by law or reasonably necessary to prevent fraud, respond to a security incident, or protect people or property.
- A successor business, if we sell or transfer the business, subject to this notice.
We will not use identifiable customer photos, video, testimonials, or before-and-after content in advertising without your separate written permission.
6. Cookies, analytics, and Do Not Track
Our site uses cookies and similar technologies needed to run the site, the store cart and checkout, and the forms and chat widget, plus privacy-focused site statistics from our hosting provider. We do not currently run third-party advertising pixels. Third parties whose tools are embedded on the site (such as our form and chat provider) may collect device information when those tools load. Because there is no common industry standard for browser “Do Not Track” signals, our site does not respond to them; you can control cookies through your browser settings. If our practices change, we will update this notice first.
7. How long we keep information
We keep information only as long as needed for the purpose it was collected, then delete or de-identify it, unless a legal hold, open dispute, insurance requirement, or tax rule requires longer. Our standard periods are:
| Record | Standard retention |
|---|---|
| Quote and contact inquiries that do not become a job | 12 months after last activity |
| Intake forms, work orders, accepted terms, estimate approvals, invoices | 7 years after the job closes |
| Tax, accounting, and payment transaction records | 7 years (no full card numbers or CVV are kept) |
| Intake and repair photos | Warranty period plus 180 days, no more than 1 year unless there is a claim |
| Customer photos, video, flight logs, and maps | Deleted within 30 days after the job closes, unless you ask us to keep them or a warranty or legal need applies |
| Temporary credentials | Deleted immediately after use |
| Shipping labels and tracking | 2 years after delivery |
| Warranty claims, complaints, and disputes | 7 years after closure |
| Marketing and testimonial consents | While in use plus 5 years |
| Email/SMS opt-out (suppression) records | Kept indefinitely, minimum data, so we do not contact you again |
| Website analytics and security logs | Analytics about 13 months; security logs 12–24 months |
8. Your choices and requests
- Text messages: reply STOP at any time. Marketing email: use the unsubscribe link in any message. We honor opt-outs within 10 business days.
- Access, correction, deletion: you may ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Email thedronehospitalllc@gmail.com with the subject “Privacy request.” We will take reasonable steps to verify your identity, and we will tell you if we must keep certain records (for example, tax, warranty, or legal records).
- California residents: this notice describes the categories of personally identifiable information we collect and the categories of third parties with whom it may be shared, as the California Online Privacy Protection Act requires. We do not sell personal information.
9. Security
We use reasonable technical and organizational measures to protect personal information, including limiting access to those who need it and a payment setup that keeps card data with the payment processor rather than in our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a security incident affects your information, we will notify you as the law requires.
10. Children
Our website and services are intended for adults. The site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.
11. Customers outside the United States
We operate in the United States and our online store ships to U.S. addresses only. Information you send us is processed in the United States.
12. Changes to this notice
We may update this notice. The current version, its version number, and its effective date will always be posted on this page, and we keep prior versions on file. Material changes apply going forward; they do not change how we handle a job you already authorized unless you agree.
